Job Description


Main objective of the job:

  • Charging & acceptance process (collects and centralizes costs, communicates with Project Managers, GS-RO and customers, approval process);
  • Responsible and GS Single point of contact (SPoC) for service managers/ cost center owners in regard to contract management end-to-end process (drafting & signing of new contracts, maintenance & update, letters of termination, storage, etc).

Main attributions and responsibilities:

  • Cost controlling for operational and non-operational costs (including the splitting by cost centers) for charging process;
  • Checks invoices issued by internal and external clients (amount, cost center, cost center responsible, invoicing details);
  • Reads, understands and applies the procedures from area of responsibility and other interdepartmental procedures, applicable within the company;
  • Fulfils any other tasks related to area of responsibility, as requested by direct superior.

Contract management for acceptances for GS

  • Assures interface between support business/ delivery organizations, signatories and the customer;
  • Assures that the contracts are handled correctly from a controlling, tax and legal point of view;
  • Keeping the systems up to date from a contract administration stand point and assume responsibility for the quality measures of the data in the systems;
  • Provide resolution to all queries coming from internal stakeholders (Operational Service delivery managers, Billing team, auditors, etc);
  • Take ownership to solve any identified mismatches on contracts level;
  • Enhance the overall performance of the process by driving automation and improvement ideas;
  • Main tasks:
    • Monthly maintenance and update "Contract Database"(DB) for GS Service Center (Service Level Agreement, Service Specifications);
    • Collection and maintenance of invoicing & SLA signing details;
    • Ensure valid Contracting SLA exist for all services charged;
    • Collect the drafting contracting SLA for quality checks;
    • Responsible for contracting SLA registration and signing process in accordance with the CTG official templates;
    • Collect the signed pdf SLA from SC Timisoara management with Power of Attorney to sign the respective contracts as service provider;
    • Responsible for collecting the signatures from service recipients/ customer side (GrL in cc of the email) and to further provide the fully signed copy to OSM/ GrL and to SO/SBO5 for storage;
    • Check the applicable naming convention for the electronic copies;
    • Responsibility for identifying the need for update lies with the OSM/ GrL, with support from GS SpoC;
    • Responsibility for sending the termination letter for contracting SLAs;
    • Sends the necessary details to the A2A/ Intercompany Billing team;
    • Responsible for the maintenance of the invoicing overview file;
    • Archive originals, copies (& electronic versions) of the contract signed by all parties;
    • Maintenance for folder structure;
    • Maintenance of work instruction.

Qualifications
  • University Diploma – Bachelor’s degree – Economics, or related degree;
  • Language: English;
  • Previous experience with contracts and cost calculations, at least 2 years;
  • Nice to have : Experience in working in Finance/ Legal area;
  • Analytical and rigorous, result oriented, great attention to detail;
  • Affinity to work with numbers;
  • Very good communication skills - adaptability to interact in a multi-cultural environment;
  • Independent and proactive attitude;
  • Excellent problem solver, self-starter;
  • Organizational skills, flexibility, adherence to deadlines and procedures;
  • Ability to work in a structured and careful way;
  • Team player and ability to work in a flexible way;
  • Advanced computer skills (Outlook, Excel).
